Dear Member Organization,
As you are probably aware, HATS is conducting a series of fundraisers to benefit programs such as TEAMS Week and the STEDTRAIN Seed Grant Award Program, and to continue to serve our member organizations. We need your help with our Fall 2002 fundraiser.
On Saturday, November 16, 2002, the Huntsville
Association of Technical Societies (HATS) and the Regency Fine Art of Atlanta,
Georgia will conduct a Benefit Art Auction and Silent Auction at the
Senior Center auditorium, 2200 Drake Avenue, Huntsville, Alabama. Regency
Fine Art will present the largest selection of certified custom-framed
art in the Southeast, representing regional, national, and international
artists. HATS will conduct a Silent Auction including a wide variety
of merchandise, goods and services. Proceeds from these events will
be used to support K-12 “Hands-On” Science and Technology programs in area
schools.
We need your help in obtaining donated items
for the Silent Auction.
A silent auction works like this: items are donated by individuals or businesses. (As HATS is a 501(C)3 organization, items are tax-deductible to the full extent of the law. The value that may be claimed for a deduction is the fair market value of the item.) At the beginning of the Art Auction, items are placed on tables with bid sheets in front of them. Art Auction attendees bid on individual items by writing their name and the price they are willing to pay for the item on the bid sheet. After a designated time, the Silent Auction is closed. At that time, each item goes to the person who has written the highest bid on the bid sheet in front of that item. HATS receives the amount paid for the item.
We need your help. Please donate an item
such as merchandise, services, gift certificates, or any item of value
for our Silent Auction. You will be recognized in the program, receive
tickets to the Auction, and receive a tax deductible receipt for the value
of the item(s) donated (receipt
form).
Art will be offered for everyone’s taste and price range, from the first-time buyer to the seasoned collector. Selections will include lithographs, oil paintings, serigraphs, etchings, watercolors, engravings, and fine art prints priced from $45 to several thousand dollars. All art is unconditionally guaranteed with a fifteen year exchange privilege. See the Auction announcement(click here) or (low resolution, click here).
We are asking our Member Organizations to request their members to approach local businesses to obtain donations for our silent auction. A letter to potential donors explains our need. See the receipt and record donation receipt form. The top of the form is given to the donor as a receipt, and the bottom of the form goes to HATS so that HATS may ensure that all items are collected prior to the auction and to plan the amount of space needed for the Silent Auction tables, etc. The member arranges collection of the item, and delivers the item to the HATS office. (In some cases, coordination may allow pick-up of the item by HATS. Call J.P. Tardy at the HATS office at 256.882.1234.) All donations must be received at the HATS office by November 12, 2002. Instructions for use of the form are provided on the form.
Each donor is entitled to two free tickets to the Art Auction. If tickets should be sent to the donor, please indicate this on the donation receipt form. (Alternately, members who will be soliciting donations may pick up tickets in advance at the HATS office and give them to donors at the time of the donation.) It is also possible include a donor’s name or the name of a donor’s business in the Art Auction Program to acknowledge a donation. If a donor wishes to have a name included in the Program, HATS must have this information by TBD. In addition, an advertisement may also be included in the Art Auction Program if donors provide camera-ready art to HATS by November 1, 2002. Space has been allocated on the donation receipt form for information concerning inclusion of names and advertisements in the Art Auction Program.
The strength of the HATS comes from its member organizations. HATS appreciates the support of its members, as well as the persons and businesses donating to the silent auction. The community’s interest ensures HATS’ continuing contribution to the advancement of science and engineering in North Alabama.
